JOB TITLE:  Caminos Program Administrative Assistant – Caminos West

POSITION RESPONSIBLE TO:  Caminos Program Director

CATEGORY OF EMPLOYMENT:  Salaried/Exempt

 

PURPOSE OF JOB:

To provide clerical/secretarial support to assigned staff.

 

PRIMARY RESPONSIBILITIES AND MAJOR OBJECTIVES:

  • Data entry into agency and federal databases in accordance with regulatory timeframes.
  • Tracking of time sensitive documentation from Case Managers, Therapists and Medical Personnel
  • Assist in routing international calls to appropriate parties
  • Provide professional communication with outside agencies including external partners, attorneys and immigration officials
  • Maintain accurate daily census report for the program, to include distribution of that document to identified internal and external parties.
  • Prepare weekly, monthly and quarterly reports
  • Assist with the coordination of transportation for youth as needed for reunification and placement with approved sponsors
  • Maintain tracking of purchasing and inventories for all Caminos Program needs
  • Ensure files are maintained to all federal and state regulations and accreditation standards
  • Schedule and coordinate meetings
  • Assume responsibility for specific ongoing projects
  • Provide back up support to medical personnel with regards to scheduling and communication of required medical appointments for youth in the program.
  • Provide coverage for agency front desk duties as needed
  • Other duties as requested to achieve agency goals

 

ESSENTIAL FUNCTIONS:

  • Maintenance of an unrestricted West Virginia Driver’s License and safe driving record. 
  • Flexible work hours to include occasional evenings, on site and off site attendance at meetings.

 

MINIMUM ACADEMIC PREPARATION AND PROFESSIONAL EXPERIENCE:

  • Bachelor’s degree preferred
  • High School graduate with minimum of 3 years office experience.

or two years of college with one-year office experience.

 

SKILLS REQUIRED FOR POSITION:

  • Must be fluent in speaking Spanish and English
  • Ability to communicate in a clear, concise manner both written and orally.
  • Must be computer literate with competence in word processing and other software utilized by agency.
  • Must be able to type 50 wpm
  • Ability to interact with public, staff and clients in a professional and responsive manner.
  • Ability to develop sufficient understanding of agency functioning and goals in order to develop appropriate priorities.
  • Ability to handle multiple tasks.

 

PERFORMANCE REVIEW

  • Performance will be reviewed three (3) months after date of hire and yearly thereafter.
  • Introductory period is for three (3) months.
